Inbound and Outbound Controller

Reports to: Supply Chain Manager

Purpose of Position:

The Inbound and Export Controller is responsible for coordinating and controlling all inbound and export activities within the OE Parts Warehouse. The role ensures the accurate receipt, storage, inventory control, and dispatch of parts while maintaining compliance with company policies, customs regulations, and customer service requirements. The incumbent will act as a key liaison between suppliers, freight providers, customs agents and internal departments to ensure efficient warehouse operations and timely delivery of parts. The Controller is responsible for the day-to- day management of the 3PL and will co-ordinate all warehouse activities between GWM and the 3PL.

Minimum Qualifications:

● Grade 12

Key Duties and Responsibilities:

Inbound Operations

● Coordinate and monitor all inbound shipments from suppliers, manufacturing plants, and distribution centres. 

● Verify shipment documentation against purchase orders and delivery notes. 

● Inspect incoming stock for quantity, quality and damage. 

● Record and process goods received transactions accurately in the Warehouse Management System (WMS) and ERP systems. 

● Investigate and resolve receiving discrepancies, shortages, overages and damaged goods. 

● Ensure stock is correctly labelled, allocated and stored according to warehouse standards. 

● Maintain accurate inventory records and support stock count activities. 


Export Operations 

● Coordinate export orders from order receipt through to final shipment. 

● Ensure export orders are picked, packed and dispatched accurately and on time. 

● Prepare and verify export documentation, including: 

    ○ Commercial invoices 

    ○ Packing lists 

    ○ Export permits 

    ○ Certificates of origin 

    ○ Shipping instructions 

● Liaise with freight forwarders, customs brokers, transport providers, and customers regarding shipment requirements. 

● Monitor export shipments and provide shipment updates and ETAs to customers and stakeholders. 

● Resolve export-related issues, delays, and customs clearance challenges. 


Inventory and Warehouse Control 

● Maintain inventory accuracy through regular cycle counts and stock reconciliation. 

● Investigate inventory variances and implement corrective actions. 

● Ensure stock movements are processed accurately and timeously. 

● Support warehouse optimisation and continuous improvement initiatives. 


Compliance and Documentation 

● Ensure compliance with customs regulations, import and export legislation, and company policies. 

● Maintain complete and accurate shipment and inventory records. 

● Support internal and external audits by providing required documentation. 

● Adhere to all health, safety and environmental requirements. 
 
 
Stakeholder Management 

● Build and maintain effective working relationships with suppliers, freight partners, customs agents and internal departments. 

● Communicate shipment status, delays and operational issues proactively. 

● Support customer service objectives through timely and accurate information sharing.
